Gallery Assistant
We are looking for an enthusiastic and motivated individual to join the gallery as Gallery Assistant, the role supports the Directors and Manager in multi-faceted gallery management, including exhibition production and planning, communications and design, sales, and gallery operations.
Responsibilities
Exhibition Management
- Work with the Directors and design exhibition related materials, such as key visuals, floor plan layouts, sales previews, portfolios, artist statements, biography and CV etc;
- Photograph artwork and installation images for all exhibitions for sales, marketing, and archival purposes.
- Communicate with Curatorial Director and liaise with the artists to understand their technical needs, and organise framing, plinths, and all other production for all exhibitions;
- Assist in producing corresponding digital and online content for the gallerys marketing channels;
- Assist in organising local deliveries and international logistics for exhibitions to ensure smooth project management, as well as for clients for an effective post-sales service.
- Schedule, implement, and oversee installation of all exhibitions, and hire and manage freelance technicians for installation as needed;
- Carrying out condition reports and follow up on restorations as needed.
Sales
- Respond to sales inquiries online and via emails
- Attend to all visitors and direct them to the appropriate person(s) in charge when necessary
- Attend to gallery rental inquiries for private events
Office Management
- Oversee and direct maintenance of gallery premises and mechanicals, and liaise with external contractors such as installation suppliers, security company, electricians, ventilation, locksmith, cleaners, etc., if needed;
- Oversee the development of any new or temporary gallery spaces, and liaise with architects, builders, and tradesmen.
Inventory & Archive
- Manage the gallerys Website and Newsletter system;
- Assist in inputting, monitoring, and maintaining artwork records within the gallery database;
- Maintain and organise internal warehouse in an orderly manner;
- Assist in organising documents related to the proper management of the archive: loan contracts, consignments, condition reports, restoration reports, insurance certificates, pick-up and delivery slips.
Miscellaneous
- Research and identify artist opportunities (including fundings, prizes, grants, residencies, open calls), and assist in writing proposals and applications;
- Coordinate with and train interns to maintain smooth gallery operations;
- Any ad-hoc duties assigned by the Directors.
Qualifications:
- Strong communication and interpersonal skills, with the ability to connect with diverse audiences
- Ideally proficient in both written and spoken English and Chinese (Cantonese and Mandarin), any knowledge of foreign language is a plus.
- Competence in Google Drive, MS Office Suite (Word, Excel, PowerPoint); knowledge of Photoshop and Illustrator is preferred.
- Ability to work collaboratively in a team environment while also demonstrating independence and responsibility
- The candidate must be eligible to work in Hong Kong.
The gallery is located in Wong Chuk Hang. The working hours are from Tuesday to Saturday, 11 am to 7 pm with an hour lunch break. Immediate availability is preferable.
