Job Scope

The scope of this role includes planning and executing a comprehensive preventive maintenance program for all equipment and facilities, covering guest areas, public areas, and back-of-house operations, with accurate record-keeping. Key responsibilities also involve developing fire prevention plans, implementing energy management strategies, and overseeing property management activities such as task delegation and KPI monitoring. The role further encompasses preparing annual budgets and capital expenditure plans, managing inventory and spare parts, and ensuring compliance with legal requirements, including the timely renewal of licenses and certificates. Overall, the focus is on maintaining safety, operational efficiency, and service quality across all areas.

What you will be doing

Preventive maintenance program

  • To plan and implement preventive maintenance schedules for all equipment and infrastructures.

  • To supervise and ensure that the preventive maintenance program for all equipment is implement schedule.

  • Implement a comprehensive preventive maintenance program for Guest room maintenance & maintain records.

  • Implement a comprehensive preventive maintenance program for Public area maintenance & maintain records.

  • Implement preventive maintenance program for Heart of house facilities, offices, lockers and maintain records.

  • To be accountable in ensuring all PM were done in a correct order and all maintenance are done in timely manner.

  • PM checklist will include all HACCP maintenance requirement for all kitchens.

Fire life safety

  • Develop and implement fire prevention plan

  • Identify any hazards and develop action plan

  • Carry out Inspection, Testing and Maintenance where applicable

  • Develop and implement “Emergency preparedness” procedure if fire happen

Energy and utility management

  • Develop and implement energy management strategy which is measurable.

  • Create awareness and conduct training.

  • Set goal and target after discussion with all stake holders.

  • Review results and give recommendation how to achieve the target.

  • Utilities covers Electricity, water and Kitchen fuel.

Property management

  • Delegates work for proper implementation and control

  • Assesses manpower requirements

  • Carry out repair and maintenance work orders

  • Monitor KPI for FM and take corrective action

  • Ensure all corrective action are attended in timely manner within stipulated KPIs

  • Any repeating issue must be highlighted to GDF

Budget and capital expenditure (CAPEX)

  • Prepares annual Capital Expenditures for FM related

  • Prepares annual Budget for Utilities, maintenance and labour

  • Prepare for any special repair or renovation projects

Inventory and spare parts control

  • Responsible for ordering all required spares with justified par level

  • Maintain and review the par level and adjust par level base on needs.

  • Ensure quality of parts received and maintain a systematic inventory list

Legal requirement - licenses and certificates

  • Prepares list of local and International legal requirement that is under FM responsibility

  • Prepares list of licenses and certificates renewal date and expiry date and renew accordingly

  • Update management and HQ any new or change of legal or requirement by local authority

Project and renovation management

  • To coordinate renovation and refurbishment projects across all areas of the property.

  • Liaise with contractors, consultants, and internal stakeholders to ensure project requirements are met.

  • Ensure all renovation works comply with safety, quality, and regulatory standards.

  • Monitor project timelines, budgets, and deliverables to ensure on-time and within-budget completion.

  • Prepare project scopes, cost estimates, and schedules for management approval.

  • Conduct regular site inspections and progress meetings to track milestones and resolve issues.

  • Coordinate with relevant departments to minimize disruption to operations during renovation works.

  • Maintain proper documentation and reporting for all project activities and handovers.

What we are looking for

  • Diploma or higher qualification in Building Services Engineering (Mechanical/Electrical) from a recognized institution.

  • Professional certifications such as PMP (Project Management Professional) or CFM (Certified Facility Manager) are advantageous.

  • Minimum 10 years of post-graduate experience in a similar role and environment.

  • Strong knowledge of local statutory requirements and Codes of Practice.

  • Solid theoretical and practical understanding in facilities management.

  • Proficiency in AutoCAD and MS Office applications.

  • Proven leadership abilities with strong mentoring and team management capabilities.

  • Demonstrated problem-solving, decision-making, and adaptability skills.

  • Strong interpersonal and stakeholder management skills to coordinate effectively across departments

  • Customer service orientation, especially if the role involves guest or external party interaction.

  • Project management experience preferred.

  • Excellent command of spoken and written English and Chinese.
