Chief of Staff - Family Office

What youll do:
- Act as a trusted advisor to the Principal by ensuring alignment between personal objectives, business interests, and investment strategies across all ventures.
- Facilitate strategic planning sessions and oversee the implementation of key initiatives spanning multiple projects in various international locations.
- Coordinate operations across Hong Kong, the US, the UK, and other regions to ensure smooth collaboration among diverse teams and stakeholders.
- Manage high-level priorities for the Principals by tracking progress on critical projects and ensuring timely execution of deliverables.
- Oversee reporting lines for personal assistants and other staff members to guarantee efficient delegation of tasks and accountability throughout the organisation.
- Prepare comprehensive summaries, briefings, and updates for the Principal to enable informed decision-making on both business and personal matters.
- Supervise complex projects by managing timelines, budgets, resources, and deliverables to achieve successful outcomes for each initiative undertaken.
- Monitor ongoing initiatives closely to identify potential challenges early on and implement effective solutions that drive continuous improvement.
- Support recruitment efforts by assisting with onboarding new team members while mentoring existing staff to foster a culture of accountability and excellence.
- Oversee travel arrangements, schedules, logistics for the Principal and family members as well as manage multiple residences to maintain high service standards.
What you bring:
- Demonstrated experience in a senior operational or strategic capacity such as Chief of Staff, Office Manager, or Private Office Manager within complex organisations or family offices.
- Exceptional organisational abilities paired with advanced project management skills enabling you to balance multiple priorities effectively under pressure.
- Outstanding interpersonal communication skills allowing you to build trust-based relationships with diverse stakeholders at all levels inside and outside the organisation.
- Proven track record working successfully in high-pressure environments where adaptability and solution-oriented thinking are essential for success.
- Familiarity with luxury property management protocols as well as exposure to private aviation or yachting logistics is highly desirable for this role.
- A genuine interest in leveraging emerging technologies-including AI-to improve operational efficiency or enhance productivity within executive settings.
- Experience using digital tools for workflow automation or process optimisation is considered advantageous when supporting busy executives or families.
- Ability to work independently while demonstrating sound judgment when anticipating needs or responding quickly during urgent situations involving Principals or their families.
